If you run your business through QuickBooks Online, sooner or later a personal expense sneaks onto the company card. One coffee becomes a grocery run, and by year-end your books are quietly wrong — which means your financial statements mislead you, and your tax return gets harder (and riskier) to prepare.
Why it matters
Personal spending recorded as business expense overstates your deductions. If it’s ever examined, those deductions can be disallowed — with penalties and interest on top. It also corrupts the numbers you use to run the company: margins, runway, and profit all look different than they really are.
Step 1 — Find them
In QuickBooks Online, open your Profit & Loss, set the date range, and click through each expense account. Sort transactions by payee. Anything that looks personal — groceries, streaming services, family travel — flag it. Bank feeds make this faster: review the “Categorized” tab and filter by card.
Step 2 — Reclassify, don’t delete
Deleting transactions breaks your bank reconciliation. Instead, recategorize each personal charge to an equity account: Owner’s Draw for sole proprietors and single-member LLCs, or Shareholder Distribution for S-Corps. The money still left the account — it just wasn’t a business expense.
Step 3 — Handle reimbursements cleanly
If you (the owner) paid the company back, record the deposit against the same equity account so the two legs cancel. If you paid business expenses from a personal card, record them via a journal entry or an expense paid by Owner’s Investment — you deserve credit for those.
Step 4 — Reconcile again
After reclassifying, re-run your bank reconciliation for the affected months. Balances should still tie to the bank statement to the penny.
Keep it from happening again
Separate cards, full stop. One business checking account, one business card, used for nothing else. If a personal charge happens anyway, categorize it to Owner’s Draw the week it appears — not in a panic the week before taxes.
A cleanup project is usually faster and cheaper than the tax-season consequences of mixed books.
When to hand it over
If you’re facing a year (or three) of mixed transactions, a cleanup project is the pragmatic route. Our bookkeeping packages include monthly categorization and reconciliation — so this mess simply stops existing.
